  • Payment information — processed securely by Stripe; we do not store your card details

When you use the course:

  • Reflective practice question responses

  • Certificate of completion records

  • The content of your message

Automatically collected:

  • IP address

  • Browser type and device information

  • Pages visited and time spent on the site

We collect only what is necessary to provide the course and administer your enrolment. We do not collect sensitive information such as health records, financial account numbers, or government identifiers.

We may share your information with the following service providers who assist us in operating the course:

Thinkific — our course platform, which hosts all course content, manages your account, and stores your progress data. Thinkific is SOC 2 Type II certified. Their privacy policy is available at thinkific.com.

Stripe — our payment processor, which handles all payment transactions securely. Stripe is PCI DSS compliant. Their privacy policy is available at stripe.com.

Google Workspace — we use Google Workspace for email communication. Google's privacy policy is available at google.com.

These providers are authorised to use your information only to provide services to us and are required to protect it in accordance with applicable privacy laws. Some of these providers may store data outside Australia — in particular Thinkific operates servers in the United States and Canada. By using our platform you consent to this transfer.

We may also disclose your information where required by law, including to regulatory bodies or law enforcement agencies.




5. How we protect your information

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. These steps include:

  • All course content and account access is delivered over encrypted HTTPS connections

  • Payment processing is handled entirely by Stripe — we do not see or store your full card details at any point

  • Course platform security is maintained by Thinkific, which holds SOC 2 Type II certification

  • Access to your personal information within OTIQ is limited to authorised personnel only

  • We use Google Workspace for email, which includes industry-standard security controls

No data transmission over the internet is completely secure. While we take all reasonable precautions, we cannot guarantee the absolute security of information transmitted to us.




6. Data breach notification

In the event of a data breach that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as soon as practicable in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

We will notify you by email to the address associated with your account and provide details of what occurred, what information was affected, and what steps we are taking in response.




7. How long we keep your information

We retain your personal information for as long as necessary to provide the course and meet our legal obligations. Specifically:

  • Account and enrolment data — retained for 7 years from the date of enrolment for tax and record-keeping purposes

  • Course progress and assessment data — retained for the duration of your access period and for 2 years after expiry

  • Certificate records — retained indefinitely so you can request a copy of your certificate at any time

  • Payment records — retained for 7 years in accordance with Australian tax law

When your information is no longer required we will delete or de-identify it securely.
